"Do more with less": – Cobrief helps us succeed

“With Cobrief, we can be just as competitive as companies with entire departments dedicated to this field.”
Norwegians encounter Onitio Solutions' products every day -- at the grocery store, at the airport, or when picking up a package. With only half a resource dedicated to handling public tenders, the company had to find smarter ways to work. The solution was Cobrief.
For Dennis Hedö, Managing Director at Onitio Solutions, there is no doubt: Cobrief is the tool that turns the company's philosophy of delivering more with less -- "Do more with less" -- into reality.
-- We have no plans to have a large team dedicated to tenders. That's not our model. But with Cobrief, we can be just as competitive as companies with entire departments dedicated to this field.
-- The technology allows us to play on the same level without increasing headcount. For us, it's the ideal solution, he says.
Onitio Solutions sees great opportunities ahead. The company has recently acquired a business in Sweden and is now focused on building a stronger Nordic presence.
-- We already have a solid customer base and strong references here at home. Now it's about demonstrating that we can deliver the same value in Sweden and the rest of the Nordics. Public tenders will be an important part of this journey, and Cobrief is a tool that helps us succeed, says Hedö.

Solutions you encounter every day
Onitio Solutions' technology is part of everyday life for most Norwegians. The company delivers everything from self-scanning and self-checkout registers in grocery stores to digital price tags, screens, and queue management systems.
They are also behind the click-and-collect solution at the tax-free shop at Oslo Airport. For several major logistics companies, it is Onitio's systems that enable millions of packages to be tracked and scanned.
-- When two million Norwegians shop for groceries, pick up packages, or move through stores every week, there's a good chance they encounter one of our solutions. It's somewhat invisible work, but that's exactly the point: Everything should work seamlessly, without the customer having to think about it, says Hedö.

-- Qualified decision in minutes
The private sector is the main market, but public tenders have become an increasingly attractive area of focus. The challenge has been capacity.
Public procurement requires a high degree of structure and documentation, and Onitio had only a half-time position to handle the entire process. The same person also had responsibility for the project department.
-- She is extremely capable, but it goes without saying that there's little time left for tenders when you cover so many roles. The result was that we often had to pass on tenders, even when we had a good chance of winning, says Hedö.
When Onitio started using Cobrief in the spring of 2025, their tender workflow changed fundamentally.
-- Cobrief allows us to monitor the market continuously and catch relevant competitions without spending hours on manual searching. We get ready-made summaries that show what the tender is about, what requirements are set, and how well it fits us.
-- This means we can make a qualified decision in minutes instead of spending an entire day, says Hedö.
Hedö emphasizes that the benefit is as much about quality as time savings. -- We avoid wasting time on irrelevant tenders. This frees up capacity to work more thoroughly on the competitions that truly matter. Photo: Onitio
Getting more done with fewer people
Previously, it could take an entire workday to evaluate a tender, gather documentation, and structure a proposal. With Cobrief, the process has been reduced to a fraction of the time.
-- We free up several workdays each month. For a half-time resource, that makes all the difference. Where we previously managed to participate in one tender, we can now handle five. This means we can deliver on more competitions with the same staffing, says Hedö.
The benefits are already clear. Shortly after adopting Cobrief, Onitio won a tender for a digital queue management solution for a health trust in Western Norway.
-- That's a project we probably wouldn't have had time to submit on without Cobrief. The tool helped us qualify quickly and structure our response, so we could deliver a competitive proposal, says Hedö.
Quality and efficiency
For Hedö, there are especially two things that make Cobrief a perfect fit for Onitio. One is the Knowledge Base feature, which allows the company to structure and reuse previous responses and documentation.
-- Before, we had to start almost from scratch every time. Now we build on existing material, and that delivers both quality and efficiency, he says.
The other factor is user-friendliness.
-- Cobrief is designed to be simple. Anyone can use it from day one, without extensive training programs. And if we have questions, support is always available. That provides a sense of security that is worth its weight in gold.
Cobrief's Commercial Director, Tellef Tveit, is inspired by how Onitio Solutions streamlines and simplifies their tender work:
– Onitio is the very definition of 'do more with less'. They prove that you don't need an entire tender department to compete against the biggest players, and that you win by working smarter.
Seeing customers streamline their daily operations from the moment they start using Cobrief is highly motivating for Tveit.
– The fact that they can now go from spending days to minutes qualifying a tender, and win contracts they previously had to pass on, is exactly the experience we are passionate about delivering to our customers, says Tveit.
